The student exchange program was not merely about traveling, but about fulfilling my responsibilities as a FIKOM student by conducting research in a laboratory at Kyushu Institute of Technology (KYUTECH) through discussions with my supervisor (Saitoh Sensei) and laboratory members. Answers to the most commonly asked questions from applicants
Which English proficiency test results are accepted? What is the minimum required score?
There is currently no fixed minimum score requirement. As the selection processes for Kyutech and UTeM are conducted simultaneously, program recommendations are determined based on each candidate's interview performance. The Duolingo English Test is accepted as valid proof of English proficiency. Please note that recommendations are adjusted according to the requirements of the destination program, and students retain the right to accept or decline the recommendation provided.
Is there a specific template for the CV and Proposal documents?
There is currently no officially standardized format for the CV and Proposal documents. However, reference templates have been provided in previous program batches to assist participants in preparing their documents. Applicants are encouraged to contact the designated contact person directly to inquire further, as a template commonly used by alumni of previous batches may be available for reference.
If an applicant is not selected for their chosen destination country, is there still a possibility of being transferred to another destination country available within the program, or would they automatically be declared unsuccessful?
Yes, applicants may initially select their preferred destination country. However, the final decision is determined through the interview process, and there is a possibility that applicants may be recommended to switch to another destination country based on the prevailing conditions and program needs at the time.
What is student life like during the program, including daily activities and the overall environment at the destination?
In Japan (Kyutech), each student is placed in a laboratory relevant to their research proposal, as each laboratory is managed by its respective supervisor. This ensures that the assigned supervisor aligns with the student's research field. In addition to research activities and academic guidance, students are also provided with Japanese language classes and have the opportunity to participate in various events organized for international students. In Malaysia (UTeM), the activities are fairly similar, involving research guidance, coding, and AI model development related to each student's research topic. The program also actively organizes various student events that encourage direct participation.
Are there any challenges or difficulties during the program in Japan/Malaysia?
In Japan, strong English proficiency is essential, as daily communication with supervisors and fellow students is conducted in English. Local students are generally not fluent in English, so having some knowledge of Japanese can be an advantage, although it is not mandatory. In terms of culture, adaptation is generally not difficult, aside from the need to be more mindful when selecting halal food. Living costs during the program are covered by the university, and the research-focused academic system does not pose a significant obstacle. In Malaysia, the situation is fairly similar. The campus community consists of diverse ethnic backgrounds, including Malay, Chinese, and Indian students. While Malay can be partially understood, English proficiency remains essential, as all academic activities, including supervision and presentations, are conducted entirely in English. A basic understanding of Malay can be helpful, but is not a primary requirement for successful adaptation.
What do applicants need to prepare for this program?
For the registration stage, the required documents are clearly stated during the registration process. One of the most important documents is the research proposal, as it will be presented during the interview session. The proposal only needs to cover the introduction, method, and related sections, without including research results, since the actual research has not yet been conducted at this stage. Additional documents will be explained and guided further after an applicant is declared successful, as document preparation is adjusted according to the requirements of each destination country and university.
Is this program fully funded? Is accommodation provided by the destination university?
This program is fully funded by Universitas Muslim Indonesia, with slight differences in coverage depending on the destination country. For Japan (Kyutech), all costs are covered, including flight tickets, dormitory fees, and living/meal expenses. For Malaysia (UTeM), covered costs include flight tickets, student visa, insurance, meal/living expenses, and dormitory accommodation. The only cost that participants need to bear independently is passport application, for those who do not yet have one.
